PURPOSE AND ROLE

The role of the Fundraising and Communications Officer is to facilitate Vumelana’s fundraising and communication activities by:
•    providing support to management on fundraising activities;
•    communications services; and
•    providing administrative support.

 


 

KEY RESPONSIBILITIES

Fundraising administration support: support the Chief Executive in the raising of funds and maintaining relationships with the donor / funder community

Assist with funder prospecting as directed by the Chief Executive
•    Undertake independent research to identify potential funders (e.g. philanthropic individuals, corporate social investment, international donor / grant-making organisations) that aligns with Vumelana’s mandate and purpose
•    Administer, maintain and update an accurate, up-to-date and accessible database of fundraising opportunities
•    Follow up on leads and meetings on behalf of the Chief Executive to facilitate the securing of funding commitments and support
•    Build contacts with potential individual funders
•    Assist the Chief Executive in building long-term relationships with existing and prospective donors and funders by coordinating all arrangements
•    Maintain a current database of stakeholder parties to assist the Executive with networking opportunities
•    Conduct research on fundraising trends and identify alternative, innovative fundraising ideas (e.g. crowd funding, online giving campaigns)
•    Ensure an active funding proposal pipeline by assisting in writing and submitting concept notes and funding proposals with the Chief Executive

 

Manage successful funder administration as directed by the Chief Executive
•    Maintain a register of successful funders
•    Provide administration services of existing funding contracts and ensure that individual reporting requirements are provided as required

 

Manage overall fundraising administration
•    Compile and update the budgeted funding schedule as directed by the Chief Executive
•    Perform administration duties for all fundraising activities (plan, coordinate, execute and review)
•    Administer all databases, registers, records, archive and knowledge management systems

 

Communication support: coordinate and administer the overall communications function

Administer the organisational communications function
•    Ensure the effective administration of communications (plan, coordinate, execute and review)
•    Oversee the communications service providers effectively
•    Support the development and maintenance of a consistent corporate identity and style guide
•    Meet and network with stakeholders, as directed by the Chief Executive to raise awareness around Vumelana and its mandate
•    Demonstrate a diligent and proactive approach in following up on meetings and requests in support of the professional image of Vumelana and the Chief Executive

 

Produce reports and publications
•    Research information on projects, current developments in land reform and other related topics
•    Generate quarterly communication reports to management and Board providing a high-level overview of communication opportunities, achievements and challenges
•    Compile and coordinate the production, printing and distribution of publications and reports to stakeholders
•    Coordinate the input of other team members to produce high quality electronic / printed publications (e.g. newsletters, annual reviews and other similar reports

 

Coordinate events and communication campaigns
•    Coordinate media and press liaison functions
•    Generate strategic and insightful concept ideas for functions
•    Work closely with service providers to coordinate and facilitate Vumelana events for maximum impact
•    Manage communication campaigns (e.g. develop theme; select products; distribution of newsletters) to stakeholders

 

Information management: manage all record-keeping and information-sharing databases and platforms

 Stakeholder database
•    Maintain an accurate, up-to-date and accessible stakeholder database on relevant development organisations, Government departments and agencies, project contacts, service providers and other strategic partners

 

Website
•    Update, maintain and monitor the Vumelana website, ensuring it is kept fresh and up to date
•    Maintain and update the Online Resource Centre and News Centre
•    Manage the general enquiries mailbox
•    Develop and maintain positive and constructive relationships with service providers

 

Social Media
•    Develop, monitor, maintain and update the Vumelana Twitter, Facebook and LinkedIn accounts as well as the Market-based solutions for Land Reform LinkedIn Group

 

Information Sharing Centre
•    Grow and maintain the Vumelana library (electronic and hardcopy).
•    Research content and send out Vumelana Alerts to relevant stakeholders

 


 

SKILLS AND COMPETENCIES

•    Strong research, writing and presentation skills
•    Advanced interpersonal and communications skills (competence in interacting at all levels)
•    Team work and ability to work with minimal supervision
•    Intermediate/advanced computer literacy skills (MS Word, Excel, Power Point, Outlook)
•    Ability to understand development issues
•    Very strong administrative, organising, technical and planning skills, and attention to detail
•    Decisiveness, flexibility and orientation for details
•    Ability to multi-task, resolve problems and handle deadlines, peaks of pressure and follow through on tasks
•    Maturity to handle complex and sometimes politically sensitive issues against a multi-cultural backdrop

 


 

REQUIRED QUALIFICATIONS AND EXPERIENCE

•    Minimum of 2 years’ coordination experience in fundraising, communications and stakeholder relations including the management of a website, social media and stakeholder database
•    Proven track record in fundraising administration
•    Experience in working with the donor community (corporate, private, public)
•    Experience of programme and budget management
•    Bachelor’s degree in communications or other relevant qualification
